JOB DESCRIPTION: Construction Administrator TIME ZONE: Australian Eastern Standard Time (AEST) SALARY: From $6 per hour aud (Subject to Experience) TYPE: FULL TIME

Contracts / Pre-construction Administration

  • Preparation of contracts / tenders / other docs for the PSP
  • Pursuing of signed documents from clients
  • All aspects of pre-construction, less invoicing and estimating
  • Drafting liaising
  • Engineering liaising
  • Hunter Water liaising (Minor/Major Works)
  • Consultations/reports liaising (BAL, Mine Subsidence, Acoustic etc.)
  • Council / Private Certifier liaising
  • Council / Private Certifier lodgement
  • Liaising with brokers and/or lenders for finance confirmation
  • Preparation of site documents for supervisor (Peg out survey, ACC letter, site file)
  • Utilise & Manage Wrike + update regularly
  • Utilise & Manage HubSpot + update regularly
  • Utilise DocuSign + Adobe for electronic signatures and PDF conversion
  • Preparation of a site specific WHS Management plan for every site
  • Colours
  • Consultations (when required)
  • Colour selections sheets, updating regularly
  • Colour boards, updating regularly (We Transfer)
  • Gas / Electricity Connections
  • Organisation of client updates through Wrike
  • PPSR Registrations

NBN (Internet)

  • Applications
  • Management / Enquiries
  • Tracking on NBN portal
  • Communication with Grant (Dataphone) & Electrician


  • Preparation & organisation of documents for Surveyor
  • Tracking of status with Surveyor
  • Receiving & posting of documents to clients

  • Receiving and organisation of collection with Surveyor


  • Site specific plans
  • Office plan


  • Organisation of new defects with Maintenance Contractor
  • Preparation of Maintenance Request forms + filing online
  • Use of Wrike to track outstanding tasks


  • Preparation of handover gift packs

General Office Duties

  • Answer all incoming phone calls
  • Record ‘phone leads’ on enquiry sheet and send to sales reps
  • Stationary Ordering
  • Site Signage (ordering and design)
  • Preparation & organization of the weekly meeting agendas
  • Monthly review of corporate collateral
  • Updating of referrer status spreadsheets

You Will

  • Previous administration related experience in a fast-paced work environment
  • Previous experience or an interest in the construction industry
  • Must be enthusiastic, well presented, reliable and have the ability to work within strict reporting deadlines
  • Must have regular access to email, internet, computer/laptop or iPad/Tablet and a SmartPhone
  • Excellent attention to detail and information retention skills
  • High-level communication, spelling and grammar skills
  • Must have excellent spoke English
  • Complete reports within time frames
  • Logging hours and tracking of work
